Termination Process

Staff Departure Form

Clean exits. Clear records. No loose ends.

When someone leaves — whether it's their choice or ours — we need a record.
Not for bureaucracy. For clarity.

Why This Matters

Six months from now, when a former team member applies somewhere else and lists Meritage as a reference, you'll want to know:

  • Did they leave on good terms?

  • Are we comfortable providing a reference?

  • How long were they actually with us?

Without a record, you're guessing. Or asking around. Or saying "I think they were fine?" That's not how we operate.

What This Form Captures

  • Employee name and last day worked

  • Departure type — Voluntary, Involuntary, End of Season, Other

  • Eligible for rehire — Yes, No, or Conditional

  • Reference status — Positive, Neutral, or Do Not Provide

  • Property returned — Keys, uniform, other items

  • Manager notes — Context that matters

What Sophie Does With It

When you submit this form:

  1. Staff Roster marks them as Inactive with departure date

  2. Birthday reminders are removed — no awkward "Happy Birthday!" to someone who left badly

  3. Anniversary reminders are removed — clean calendars, no ghosts

  4. Employment duration is calculated and logged

  5. Reference status is recorded for future inquiries

Their history stays in the system. Their recurring events don't.

When to Use This

Every departure. No exceptions.

  • Resignation? Form.

  • Termination? Form.

  • Seasonal end? Form.

  • No-call no-show or a walkout? Form.

Even the messy ones. Especially the messy ones.

The 2-Minute Investment

This form takes less time than the conversation you'll have later trying to remember what happened. Fill it out while the details are fresh. Sophie handles the rest. Questions? Talk to Desta.
